Tank Tracking

  1. Degree Day Normals: Degree Day Normals facilitate the calculation of future fills for tanks using K-Factors. The numeric information must be manually entered from historic data. The average degree day normals per month need not be entered. There should be one record per location degree day normals are kept for. For example, if customers are located within a 60 mile radius, only one station need be setup. However, if customers are located over a large geographical area, several stations should be setup, as degree days differ with weather/climate. Whether or not K Factors are being used, a minimum of one station must be established to facilitate setting up the default station in Configure, as a station must be assigned to each tank.
  2. Configure Tank Tracking: The “Tank Tracking Preferences” window is used to configure the operation of the Red River BusinessWare Tank Tracking program module. Sales Category information, rental information, station information and degree day information that controls the flow of the program are all entered through this window. This function should be completed after installation of the software.
  3. Customers: Entering customers into the computer lays the foundation for the Tank Tracking for Windows program. The information that is entered in this window stores customer shipping and billing addresses, phone numbers, and contact names. It also stores sales commissions, sales tax percentages, payment terms, pricing codes, and sales regions, all of which are affected by the entries made in this window.
  4. Budget-Def/PP-Subsidy Tab: The “Customers: Budget-Def/PP-Subsidy” window is used to setup customers on budget payment plans, those who make deferred and pre-paid payments, customers that receive any type of subsidized awards or financial aid and finally to keep track of fill dates for customers and businesses that use this feature. For example, many customers work on budgets, receive subsidies, or deal with other circumstances. The “Customers: Budget-Def/PP-Subsidy” window allows each customer to be set up for as many of the above situations as needed.
  5. Tanks: This window is where all tank information is entered. It is here that the user assigns tanks to customers (there is no limit to the number of tanks that can be entered for each customer), specifies the type of fuel used in the tank and how the next fill date will be calculated. It is in this screen that the tank’s fill and maintenance history can be viewed.

Tank Tracking Reports

  1. Degree Day Listing: This report provides a listing of degree days entered. The dates to be included in the report can be specified by the user.
  2. Route Demand Report: The Route Demand Report compiles a listing of customers that need to be filled. There are many options for this report. One of which is the generation of meter tickets. If this option is chosen, a meter ticket will be created for each tank listed. The appropriate meter tickets can then be printed and sent with the driver for that route.
